
Auction Rules and Overview
CHECK-IN PROCEDURE Upon check-in, guests will receive an Auction Program and personalized bid number paddle. A credit card is required to be scanned at check-in to receive a bid number. American Express, Discover, MasterCard, Visa, Google Pay, or ApplePay are accepted. Couples will be assigned a joint bid number if desired. The bidder is financially responsible for the use of his/her bid number paddle. ALL bidding & bid-tracking, excluding that at Live Auction, will be made via the guests' phone or, in some cases, a volunteer mobile bidder's IPad. If you would like to pay by wire, DAF, or check, please let Kathy Shockley know and make sure to check out at the envent letting the staff know how you will be paying.
LIVE AUCTION Bids are made by raising the bid number paddle. When the auctioneer declares the item "SOLD," please hold the bid number paddle with the number facing forward until the auctioneer calls your number. In the event of a "tie bid" the auctioneer will reopen the bidding between those bidders only. The winning bidder will be asked to place a bid number and signature on the Live Item Card as acceptance of the final purchase price. Group purchases are encouraged and welcome; however, one person must be responsible for the bidding and payment. The successful bid will be entered on that person's bid account and must be paid in full by that person at the end of the evening.
SILENT AUCTION The ease & convenience of a cell phone allows guests to view the fabulous items in Silent Auction at the touch of a finger. You can bid from the Silent Auction area or from your seat during dinner! If you need assistance with Silent Auction bidding, please contact a Bidding Assistant in the Silent Auction area, or go to the check-in area and ask the staff. The last bid on an item when the Silent Auction closes will be declared the winner. The Silent Auction will close at 10:00 p.m. At the end of the evening, each guest will receive a list of items and winning bid prices associated with their bid number.
TEXT BIDDING This year, you will place bids and keep track of the items you are bidding on with Text Bidding. Receive instant notifications if you are the high bidder, or if you have just been outbid. At the end of the event, notifications are sent out to participants who purchased and won items. Please note that Text Bidding is subject to the speed of your mobile service provider and venue's WiFi connectivity to the electronic bidding system. We recommend final Text Bids be entered by 10:00 PM and monitored after that time to ensure timely bidding.
CHECK-OUT PROCEDURES Check out will begin at 10:00 PM. Successful bidders are required to pay for all items before leaving. FULL PAYMENT IS REQUIRED UPON CHECK OUT. Guests who have not checked out at the end of the event will have their purchases charged to their credit card which was scanned at check in. All winners are responsible for obtaining their winning items. The winner assumes responsibility for items left at the event. ALL SALES ARE FINAL. You must present a paid receipt at the door to leave with your items. Special arrangements can be made for extremely large items. Auction Rules and Overview NOTICES All sales are final. No exchanges or refunds are permitted. All items sold "AS IS." Please read your gift certificates carefully as some items may have restrictions. Live Auction dinner winners are responsible for scheduling their dinner with the host prior to the expiration date. If dinners are not scheduled by the expiration date listed, your purchase will be captured as a donation. No exceptions will be made unless agreed upon by auction chair(s) and party host. Live Auction travel winners are responsible for scheduling their trips with the host prior to the expiration date. A text/email reminder with instructions, expiration dates, exclusions, and other pertinent information will be sent with following purchase of party board item. If trip is not used by the expiration date listed, your purchase will be captured as a donation. No exceptions will be made unless agreed upon by auction chair(s) and trip donor. Reservations, use of homes, trips, sporting events, dinners, etc., must be mutually arranged with the donor, unless otherwise specified and are subject to availability. The last and highest qualifying bid at the close of the auction shall be the buyer of the item.
Rays of Light makes no warranties expressed or implied, or representation in connection with the sale of any item. NO statement contained in this program or made orally at the auction or elsewhere shall be constituted or deemed a warranty, representation or assumption of liability by the Rays of Light or donor of the item. NEITHER RAYS OF LIGHT IS RESPONSIBLE FOR THE BUYER'S NON-USE OR INABILITY TO USE THE ITEMS PURCHASED. Should a dispute arise, the decision of the auction chair(s) shall be final.
